Tasks are actions that arise from a meeting, an opportunity, or a customer, such as “call this customer on Thursday” or “send the proposal.” When you set a due date for a task, you’ll receive a reminder when the time comes; when you assign it to a team member, they’ll receive a notification.

Accessing the Screen

Click the Sales Tracking icon on the left sidebar. In the Tasks folder of the panel that opens, you’ll find the following entries: My Tasks (showing the number of open tasks assigned to you), Overdue (your overdue tasks), Completed, and Everyone’s Tasks for managers. Next to the "Tasks" tab on the Sales page, the number of overdue tasks appears as a red badge.

Who handles which tasks?

  • View Tasks → Only users with this permission can view tasks assigned to them. They can create tasks; any tasks they create are assigned to them.
  • Create, Assign, and Close Tasks → View tasks for the entire team and assign tasks to others. The "Assignee" selector in the list is visible only to users with this permission.

Creating a Task

  1. Create a task — Click the button in the upper-right corner of the Tasks tab; the form opens from the right.
  2. Type — Select Task, Phone Call, Meeting, or Email. The type determines the task’s icon in the list.
  3. Task — Enter a brief title for the task. This is the only required field.
  4. Date — Select a date and time, or use the shortcuts: "1 hour from now," "Today at 6:00 PM," "Tomorrow at 9:00 AM," or "Next week." The date is optional.
  5. Ata — Assign the task to a teammate; they will receive a notification. The default option is "Me."
  6. Opportunities and Notes — Link the task to one of your open opportunities and add notes if necessary.

Leave the date blank for tasks without a specific due date. Entering a made-up date will unnecessarily inflate the number of overdue tasks.

It connects to wherever you open the task:

  • In the "Opportunity Details" section, under "Tasks," click "Add Task": the task is linked to that opportunity.
  • In the "Sales Tracking and Tasks" card in the customer profile, click "Add Task": the task is linked to that customer.
  • In the "Sales Tracking" section of the "Meeting Details" panel, click "Add Task": the task is linked to both the meeting and the customer.

You can link a task opened from the Tasks tab to only one opportunity. The opportunity’s and customer’s names appear as links in the linked task’s row; a “Open Chat” link appears in tasks linked to a meeting.

Task List

Open tasks are grouped by due date: Overdue, Today, Tomorrow, This Week, Later, and Undated. This way, the tasks you need to complete today appear at the top of the list.

On the toolbar, search by task title or note, then select the status (Open, Overdue, Completed, All) and type. The "Overdue," "Today," and "Open" counters on the right always show the number of tasks assigned to you; clicking the "Overdue" count lists your overdue tasks. A maximum of 500 tasks are displayed on the screen.

On each line:

  • Checking the box on the left completes the task. The name of the person who completed the task is displayed; you can uncheck the box to reopen the task.
  • Clicking the title opens the task editing form; there is also a Delete button at the bottom of the form.
  • The row menu includes Edit, Postpone (15 minutes, 1 hour, Tomorrow at 9:00 a.m.), and Delete.

Reminders

When it’s time to complete a task and the task has been assigned to you:

  • A notification appears in the notification bell; if you have enabled browser notifications, you will receive browser notifications even when the CRM tab is closed.
  • If CRM is open, the Task Reminder window will appear no matter which screen you’re on. From the window, you can mark the task as “Completed,” postpone it using “Postpone,” or view its details by clicking “Open Task.”

Clicking "Close" in the reminder window does not close the task; it only marks the reminder as seen. The task remains open and appears as overdue in the list. When you postpone it, the task will be reminded again on the new date.

You can select which channels task notifications will come from on the Settings › Personal › Notification Preferences screen. If you turn off in-app notifications for task reminders, the reminder window will not appear either.

Frequently Asked Questions

How do I track tasks on the opportunity board?

Each opportunity card displays the date of the nearest task. Cards with no tasks display "No tasks!" You can use the "Apply Filters" menu on the dashboard to list opportunities with no tasks or overdue tasks using the task filter.

A task from a notification won't open

A task may have been deleted or assigned to someone else. If you can only see your own tasks, tasks that have been delegated to others will not be visible to you.
