Activity Logs and Access Control
On this page
You can monitor who is doing what on the team, who has left, and whether access permissions are still in place through three screens: the activity log, access control, and departed members. All three are available to users with the "Manage Team Members" permission.
- Activity LogWho did what on the team
- Access ControlReview access permissions regularly
- Deactivated MembersThose who have been removed, have left, or have deleted their accounts
Activity Log
Team › Audit › Activity Log lists invitations, role changes, suspensions, removals, and logins, with the most recent entries at the top. The log displays both team actions performed in the CRM and workspace actions performed from your Blesyum account. Entries can only be added; they cannot be edited or deleted afterward.
Use the buttons above to select a category:
| Category | What's Included |
|---|---|
| Membership | Sending, resending, and canceling invitations; joining, leaving, and being removed from a workspace; suspending and reactivating accounts in CRM; transferring open conversations; changing workspace access; transferring ownership |
| Permissions | Member role and group changes; creating, editing, and deleting permission groups; changing data scope |
| Security | Logging in and out, changing and resetting your password, temporary password, enabling and disabling two-step verification, signing out of all devices, removing trusted devices, requesting an email change, exporting data |
| Governance | Completion of access control; creating and archiving a channel in the team chat |
If you select a person using the "Filter by Team Member" option, the actions that person performed and the actions taken against them will remain; the "Everyone" filter removes these. Details are also provided in the rows: the role’s previous and current status, how many open meetings were transferred, or how long the hold lasted.
This screen does not display the IP address or browser information. These details are available on the Activity Log screen in your Blesyum account for authorized users.
Access Control
Team › Audit › Access Audit consolidates on a single page who still needs access, who is inactive, and who can manage the team. The top card displays Last Audit, Next Audit, and Open Findings. When it’s time for an audit, the “Next Audit” section displays “Time to Audit,” and an exclamation mark appears in the “Access Control” row in the left panel. If no audit has been performed, the system considers it time for an audit when there are at least two people on the team.
Findings
| Find | Who is it for? |
|---|---|
| Open conversations with no one to respond | Open conversations assigned to someone who is on leave or no longer on the team |
| Hasn't been active for 30 days | Those with open access but who have not been seen for more than 30 days (excluding owners and those on hold) |
| Has never logged in | Those who joined less than a week ago and have never opened their workspace |
| Pending for more than 30 days | Items that have been pending for a long time |
| No CRM role | Users who cannot perform any actions in CRM because they do not belong to a CRM permission group |
| Not in any group | Those who will not receive any calls in group-based distribution (if you are using only the group) |
| Those who can manage the team or settings | Owners and roles, those who can change settings and access permissions |
| Invitations that have been pending for more than 7 days | Invitations that no one has accepted |
Below each result, you’ll see what action to take, and you can perform the action directly in the row: “Transfer” for unattended calls, “Resend” or “Cancel” for pending invitations, or “Open Profile” for contacts. Controls with no issues are listed under the “No Issues” heading.
Completing the audit
- Complete the verification — Click the button in the upper-right corner of the page; a drawer will open from the right.
- Next check — Select 30, 60, 90, 180, or 365 days from now. The default is 90 days.
- Note — Optionally, describe what you are checking or changing.
- Complete the verification — The current status is saved under your name.
You can complete the audit even if there are open findings; the findings are recorded as they are at that moment. Completed audits are stored in the Audit History section along with the auditor’s name, the number of members, the number of open findings, and the selected time range.
Don’t leave unclaimed calls unaddressed: customers may be waiting for a response in these calls. You can use the “Transfer” option to send calls to the queue or assign them to a team member.
Members who have left
Team › Members › Departed Members displays everyone who has left the team: those removed from the CRM or Blesyum account, those who left voluntarily, and those who deleted their Blesyum account. The list is derived from the activity log; no separate deletion record is kept.
- Reason: removed, voluntarily left, or account deleted.
- When: the date of separation.
- Performed by: The name of the person performing the action or the phrase "from the Blesyum account." The number of open calls transferred during the call and any notes left also appear here.
The "Reinvite" button opens the invitation inbox with the person's email address already filled in. This button is not available for users who have deleted their accounts. You can search the list of departed members using the search box.
Frequently Asked Questions
What happened to the calls of the person I removed?
When you remove them, they go to the location you selected: the queue or the team member you chose. The number appears in the "Assigned Members" list. If any are missed, they will appear in the "Open conversations with no one to respond" section of the access audit.
I can't see an action in the activity log.
Check whether the category or person filter is enabled; if there are no results, it will say "No records match these filters."
